Your Privacy Matters at Physioflexx Falkirk

I understand how important your privacy is and why your personal information should remain just that – private. To deliver my physiotherapy services effectively, I need to collect some personal details about you. This policy outlines what I collect and why.

What I Collect
When you book an appointment with me, I'll ask for your name, date of birth, email address, and area of injury. This is crucial for gathering relevant medical information to build a comprehensive clinical picture, which aids in diagnosing and treating your pain effectively.

How I Store Your Information
Your privacy is paramount. At Physioflexx Falkirk, I use the secure diary management platform Cliniko (Red Guava Pty Ltd), which is accessible only through specific, password-protected usernames. Additionally, all devices, including computers and iPads, are password-protected. Cliniko features a privacy mode to ensure that no other patient can see names in the booking system. Moreover, my systems and servers are fortified with firewalls to maximise security and prevent unauthorised access.

Usage of Your Information
Your email is used to provide essential appointment details, including the clinic address and entry systems, and to send reminders 48 hours prior to your appointment. This facilitates adherence to our 24-hour cancellation policy. Marketing communications, such as offers, birthday discounts, clinic updates, and injury prevention tips, are sent only with your consent. You have the option to unsubscribe from these communications at any time. For feedback collection, I use Survey Monkey, and for promotional emails, Mailchimp is my tool of choice.

Sharing Your Information
Your personal information is only shared with other Allied Healthcare Professionals (like GPs, Orthopaedics, Occupational Therapists) if medically relevant to your care, and always with your consent. In cases involving insurance companies following Road Traffic Accidents, your consent will be obtained before releasing any information.

Retention and Destruction of Records
In line with the Data Protection Act 1998 (DPA) guidelines, adult records are retained for 8 years from the date of the last treatment, and for children, until 25 years of age or 8 years after their 18th birthday. Inactive files are archived but not destroyed within this period. Post the retention period, records are securely destroyed.
